Scheduling for a salon of 2 to 8 chairs

Hair salon scheduling app and salon scheduling app for teams

Every stylist keeps their own days, hours and service list. Clients request a time from a phone, the app refuses anything outside the hours you set, and nothing lands on the schedule until you say yes.

Short answer

Hairdressers.io is a hair salon scheduling app that runs in the browser on any phone: each stylist has their own hours, services and booking link, clients request a time inside those hours, and the request reaches the salon by email to confirm with one reply. Clients move or cancel from their own link inside your notice window. It costs $89 a month for a salon of up to eight stylists, $49 for one chair, with 0% commission and a city directory listing included.

A salon owner looking for a scheduling app usually has two problems at once. The phone rings while everyone has foils in, and the schedule lives in three places: a paper book, a stylist's Instagram DMs and somebody's memory. A scheduling app for a hair salon has to solve both without turning into a second job. That means each stylist books only inside their own hours and only for services they actually do, every service carries its real length, and the owner keeps the final say on long color appointments. It also has to cost the same in the month you hire a sixth stylist as in the month you had five.

01

What is the best scheduling app for a hair salon?

The best scheduling app for a hair salon books each stylist only inside their own hours, knows the real length of every service, lets clients move their own appointment within your notice rules, and bills in a way that does not punish hiring. Ease of use for clients matters too: if they have to download an app or create a password, a share of them will phone you instead.

The apps salons usually compare fall into four groups, and they differ more in how they bill than in what the calendar looks like. We compare models, not prices, because every company changes its numbers; check each pricing page on the day you sign.

Scheduling app How clients book How the bill grows with your team Best for
Vagaro Instant booking from your page and the Vagaro marketplace Per bookable calendar up to a cap, plus add-ons A larger salon that also wants payroll, inventory and campaigns
Fresha Instant booking from your page and the Fresha marketplace Flat for one person, then per bookable team member A salon that wants checkout and marketplace exposure in one place
Booksy Instant booking in the Booksy consumer app One plan plus a fee for each extra team member A salon or barbershop that wants the biggest consumer app
Square Appointments Your Square booking site A no-fee entry tier, paid tiers priced per location, card processing on payments A salon already ringing up on a Square reader
Hairdressers.io Requests from your salon page, each stylist's link and the city directory, confirmed by you Flat: $49 for one chair, $89 for up to 8 stylists, $199 for up to 25 A salon of regulars that wants a fixed bill and approval on long services

Each stylist keeps their own schedule

A small hair salon team working at their stations on a busy morning

In most salons nobody works the same week. One stylist does Tuesday to Saturday, another only evenings and Sundays, a colorist takes Mondays off and does not cut men's hair at all. A scheduling app that only knows the salon's opening hours will book a client into a chair that is empty that day.

On the Salon plan each stylist has their own working days and hours, their own service list and a personal booking link they can put in their Instagram bio. A client who picks a stylist sees that stylist's days, and if they ask for a time outside them, or a service that stylist does not do, the request is refused on the spot with a plain message telling them what to pick instead. A client who just wants the first opening books from the salon page and you assign the chair.

Hours per stylist
Working days and hours set for each chair, so evenings-only and part-time stylists book correctly.
Services per stylist
Each stylist lists only what they do; a request for anything else is turned back with a clear reason.
A link per stylist

Long color services without a broken Saturday

Hair is harder to schedule than most businesses. A partial highlight takes two and a quarter hours, a balayage three and a half, and a color correction for a new client can eat the whole afternoon. Instant booking is great for a $40 cut; for a four hour appointment from someone you have never seen, it is how a Saturday goes wrong.

Here every service carries its own length and price, and every booking arrives as a request with the service, length, stylist, date and time on it. You or the stylist confirm with one reply to the email, suggest another time, or ask for a photo first. That is a trade off and we say so: a salon that books mostly quick cuts may prefer instant booking. A salon that lives on color usually prefers the yes.

04

Is there an app for scheduling hair appointments that clients do not have to download?

A hairstylist reading a booking request on her phone at her styling station between clients

Yes. Hairdressers.io runs in the phone browser on both sides, so clients open your link, pick a service, a stylist and a time, and send the request with their name and phone number. No download, no account and no password. You and your stylists use the same thing from your own phones, so there is nothing to install on the front desk either.

After a request, the client gets a confirmation email with your deposit and cancellation policy and a private link to move or cancel. They can move it up to three times, and only to a time that still leaves you the notice window you set in your panel; every change reaches you by email. That covers most of the calls a front desk takes in a week.

05

How much does a salon scheduling app cost?

Most salon scheduling apps price per stylist, per calendar or per location, and many add text reminders, marketing or payments on top. The honest way to compare is the yearly bill for the team you will have next summer, not this month: twelve subscriptions, the per-member line for every planned hire, the add-ons you would actually switch on, and anything kept from new clients.

On Hairdressers.io the numbers do not move as you hire: $49 a month for a single chair, $89 a month for a salon of up to eight stylists, and $199 a month for up to 25 across several locations. Every plan includes 0% commission on every booking and a listing on the city directory page for your area. The full list is on the pricing page, and the hiring math for a two to six chair salon is worked through on hair salon software for small business.

Who uses a hair salon scheduling app like this

Booth and suite renters booking only for themselves usually want the tool in their own name; the hair stylist scheduling app page covers that case, and the salon appointment book app page covers moving a front desk off paper.

Salons of two to eight chairs
Owners who want each stylist booked correctly and one flat bill that does not rise with each hire.
Salons with part-timers
Evening, weekend and Saturday-only stylists, each with their own days, on the same plan at no extra cost.
Color-led salons
Salons whose day is built around long appointments that need a yes before they are confirmed.
Owners with two or more locations
The Studio plan covers up to 25 stylists across locations, with a manager for each location seeing only their own requests.

07

What this scheduling app does not do

We would rather say it here than after you sign up. The schedule lives on a calendar that shows every stylist for the day or one stylist for the week, with drag to reschedule and blocked time, and every request also downloads as a spreadsheet. There is no card on file or deposit taken in the app, no text message reminders, no payroll, no inventory and no point of sale. Clients cannot lock a slot instantly; every booking is a request you confirm.

If you want one suite that does checkout, payroll and campaigns, an all-in-one platform is the closer fit and charges for it. If you want each stylist booked inside their own hours, a final say on long services, a client list that is yours and a listing that brings new clients at 0% commission, that is what this plan is. The hair salon CRM page shows what happens to each client after they book.

Questions

About hair salon scheduling app

The rest are on the salon booking system FAQ.

What app do most hair salons use for scheduling?

There is no single standard. US salons that grew with a marketplace tend to use Vagaro, Booksy or Fresha, salons on a Square reader often use Square Appointments, newer independent salons lean toward GlossGenius, and many small salons still keep a paper book. Pick by how the bill grows and who owns the client list.

Can each stylist have their own schedule in one salon app?

Yes. On the Salon and Studio plans each stylist has their own working days, hours, service list and personal booking link. A client who asks for a time outside a stylist's hours, or a service that stylist does not do, is told on the spot to choose again.

Does the app charge per stylist?

No. The Salon plan is $89 a month for up to eight stylists, so adding a stylist inside the eight does not change the bill. The Studio plan covers up to 25 across several locations for $199, and a single chair is $49.

Can clients reschedule their own appointment?

Yes. Every client gets a private link in their confirmation email to move or cancel, up to three moves, and only to a time that leaves the notice window you set. You get an email each time something changes.

Does it send text message reminders?

No. Clients receive their confirmation and any changes by email, with your deposit and cancellation policy included. If text reminders are how your salon stops no-shows, a suite that sells message credits is the better fit.

How far ahead can clients book?

Up to 90 days ahead, inside the hours you set for the salon and each stylist. Anything further out you can arrange directly with the client.
